Non-Exempt (Hourly) Open Positions

From working with horse registrations, to production and processing of paperwork, to accounting, to customer care and much more, there are a variety of Non-Exempt positions available at AQHA. Much of the horse paperwork that is completed for members and owners on a day-to-day basis is completed by Non-Exempt employees. These employees make up more than two-thirds of the AQHA workforce. Depending on the area of the position, there are a variety of position levels and much room for advancement and promotion opportunities.

 

Production Assistant

AQHA is currently seeking a production assistant to work for the publication department located in our international headquarters in Amarillo, Texas.

Position Summary:

The American Quarter Horse Association is seeking a motivated Production Assistant to join its award-winning media team. The ideal candidate should be comfortable in a fast-paced, deadline-focused workflow. Exceptional organizational skills, accuracy, attention to detail and workflow procedures are critical. On-the-job training for this position is required and readily available.

Essential Functions:

  •          Perform simple edits on publication advertisements and editorial layouts
  •          Perform simple edits on AQHA marketing materials
  •          Assist with preflight of advertisements for AQHA publications.
  •          Archiving of completed publications. 
  •          Assist in advertising and editorial proofing workflow.
  •          Filing and filling out the scheduled ad information for the newly scheduled advertisements.
  •          Assist with logging and passing out ads/editorial for artists to work.
  •          Assist with making publication editorial forms for proofing. 
  •          Work all pickup ads.
  •          Assist with sending files print and digital files to outside vendors.
  •          Perform other duties as assigned.

Customer Care Representative

AQHA is currently seeking a customer care representative to work for the customer care department located in our international headquarters in Amarillo, Texas.

Position Summary:

Interact with customers to provide information in response to inquiries about programs, products and services and to handle and resolve inquiries by answering incoming direct line telephone calls, 800 number lines, e-mails and social media.  Assist customer if possible or route calls to appropriate department.

Essential Functions:

  • Confer with customers by telephone or in person to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints.
  • Check to ensure that appropriate changes were made to resolve customers' problems.
  • Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken.
  • Resolve customers' service or billing complaints by performing activities such as exchanging records, refunding money, or adjusting bills.
  • Complete customer request forms, prepare and complete change of address records, or assist to complete documents, using computers.
  • Refer unresolved customer grievances to designated departments for further investigation.
  • Determine charges for services requested, collect deposits or payments, or arrange for billing.
  • Solicit sales of new or additional services or products.
  • Obtain and examine all relevant information to assess validity of complaints and to determine possible causes.

Additional Responsibilities:

  • Monitor customer inquiries and concerns for required feedback and reporting. 
  • Promote AQHA programs and membership.
  • Route messages to proper person/department.
  • Conduct outreach calls pertaining to various topics to obtain pertinent information to renew memberships, complete pending foal registrations, pursue program enrollments, conduct surveys, etc.
  • Stay abreast of all changes made to rules, procedures, personnel, telephone responsibilities and proper customer service and telephone techniques.
  • Perform duties for other departments as required. Must be able to work proficiently at the reception desk and switchboard desks. Includes meeting and greeting the public, managing entrances and incoming multiple telephone lines.
  • Perform various other duties as assigned by supervisor or department head.
  • Customer Service representatives are considered essential personnel.  Above average attendance is required.

Registration Customer Service Representative

AQHA is currently seeking a registration customer service representative to work for the production and processing department located in our international headquarters in Amarillo, Texas.

Position Summary:

  • Assist members with all aspects of the registration of their horses
  • Make calls to members with pending work in the office to offer assistance in helping them get the information needed to process their request
  • Stay abreast of all changes made to rules, procedures, personnel, phone responsibilities and proper customer service and telephone techniques.
  • Complete customer request forms, prepare change of address records, or assist to complete documents, using computers.

Customer Request Operator

AQHA is currently seeking full and part time Customer Request Operators for the Production and Processing department located in our international headquarters in Amarillo, Texas. 

Position Summary:

Operate data entry device, such as keyboard or scanner, to enter customer requests.  Enter payments received and balance transactions.   Provide assistance for specialized duties and answer internal calls to provide support as needed.

Essential Functions:

  • Read source documents and enter data in specific data fields for subsequent entry, using keyboards or scanners.
  • Compile, sort and verify the accuracy of data before it is entered.
  • Compare data with source documents, or re-enter data in verification format to detect errors.
  • Store completed documents in appropriate locations.
  • Locate and correct data entry errors, or report them to supervisors.
  • Maintain logs of activities and completed work.
  • Select materials needed to complete work assignments.

 Additional Responsibilities:

  • Assist with telephone customers on a daily basis.
  • Assist to sort and open mail on a daily basis in the mailroom.
  • Assist with walk-in customers as needed.
  • Review scanned documents to ensure proper classification.
  • Provide assistance to specialized accounting duties, which could include rushes, internet transactions, advertising accounts and various other duties.
  • Assist co-workers as assigned by the supervisor or department head.

Exempt (Salary) Open Positions

Exempt employees can be found in the Association in a variety of departments that are critical to the overall business planning and strategic business decisions for the future of the Association like Marketing, Accounting, Publications, Human Resources and other areas. Many people applying for these positions have established careers in the associated fields and corresponding degrees and professional certifications. Manager of Infrastructure Operations 

AQHA is currently seeking qualified candidates to fill the Manager of Infrastructure Operations position in the information technology department with the American Quarter Horse Association. The candidate will work out of the international headquarters located in Amarillo, Texas. 

Position Summary

The Manager of IT Infrastructure Operations has responsibility for building and operating secure services that support the business operations of AQHA. Scope for infrastructure includes network, security, VPN, storage, servers, voice systems, backups, service requests, printing, imaging, access administration, monitoring and other areas as relevant. This role will manage the daily operational activities of the infrastructure team while ensuring exceptional customer service. This position requires exceptional communication, project management skills, and attention to detail, as well as mastery in building and maintaining positive relationships within the team and across the organization.

Essential Functions

  •  Infrastructure Design & Operations: Participate in the definition of the architectural platform for all infrastructure areas. Evaluate industry trends for technology advances and make recommendations to upgrade the infrastructure platform. Plan install and maintain the technical infrastructure (including hardware, software servers, storage solutions, networks, or physical facilities) that supports critical business needs. Integrate package selections into the platforms where required. Ensure that the implementation of systems meets the architectural specifications as well as the user requirements. Identify infrastructure-related needs and design and implement solutions that meet those needs. Maintain best practices and ensure the team follows standard processes and procedures.
  •  Project Management: Maintain the priorities for the infrastructure team. Manage all aspects of projects including project timelines resource allocations and ensuring projects meet agreed upon deadlines, deliverables, and budget. Formulate system plans estimate costs for delivering systems and monitor any exceptions.
  •  Operational Support: Ensure availability of all systems via proactive monitoring.  Oversee service request completion timeliness and quality. Provide metrics for both system and process performance. Ensure system backups are processed regularly. Maintain user access and rights to support business processes.
  •  Leadership: Have an understanding of and experience in servant leadership. Work with the team to improve upon and create organizational processes and strategies. Lead the team in various technology choices based on company needs and direction. Monitor service level agreements and key performance indicators or metrics. Make recommendations for buy versus build decisions.
